Digital construction management

Selection of an industry-specific ERP system.
Many facility management service providers are looking for a holistic software platform for their service business. In future, they will find what they are searching for at M&P BEGIS: our experts have defined an ERP platform for a medium-sized family business that precisely maps all the service processes in technical and infrastructural facility management. The blueprint for tailor-made, SME-oriented solution concepts.
Facility management companies usually combine a standardised ERP system with specific CAFM systems for business processes. Isn’t there a better, more uniform, more effective way?
The answer from M&P BEGIS is a new, holistic software platform for a full-service FM provider. The roadmap for the solution includes defining the requirements for a company-wide ERP system and the needs resulting from the service processes, creating a requirement specification, reviewing the market, and selecting software and implementation partners.
1. From analysis to IT target vision
As a rule, the selection process starts with a thorough analysis of the current process and system landscape. Our experts identify pain points and the causes of them. Against this background, we develop an IT target vision that eliminates pain points and supports a future-oriented digitisation model. Redundant systems, incomplete data models and data, inefficient processes and gaps in media continuity are replaced by integrated IT target models. The target process map with the descriptions of the metaprocesses is an essential element in the selection and implementation process. It helps with a complete, role-related definition of requirements and is the central theme running through the digital mapping of cross-departmental end-to-end process chains, as well as the basis for role- and process-related tests and training.
2. Live presentation via RFI (request for information) and RFQ (request for quotation)
We summarise the definition of requirements for the IT target vision in structured documentation. The core of the result is an RFI or RFQ Excel document that contains, among other things, structured process documentation (meta level) and a price matrix adapted to it in accordance with the TCO (total cost of ownership) approach. The experts from M&P BEGIS investigate the target processes to determine which functions in the standard product can be supported by the respective system provider through customisation, customer-specific additional developments or partner solutions. The process definition and price sheet form an inseparable unit. The provider needs to have understood the processes to be digitised and the map of the customer’s target process and systems, and transform its cost model (on-premise, cloud, SaaS, modules) to suit the customer’s process perspective. This provides the basis for a comparable analysis of the offers in terms of performance and costs.
3. Overview of the system introduction
We do not shirk our responsibility, even after the system has been selected. A successful project needs to be measured by whether the target processes are mapped efficiently and in line with requirements (according to the demand/requirement specification). An ERP system with integrated performance processes lies at the core of a service company. Deficiencies in customer relationship management (CRM), in the quotation and calculation process, in work scheduling and service provision or in the various billing variants in FM can threaten its very existence.
